ScoutLab is a staffing firm headquartered in Nashville, Tennessee, with offices in Palm Beach, Florida and Northern California. It places sales talent into SaaS, logistics, supply chain, medtech and IT companies. Like most early-stage staffing firms, it grew on referrals and relationships, and generating new client leads was, in the President's words, "always a struggle." The firm needed a partner who could build the outbound function it did not have, without pulling recruiters away from placements.
We built ScoutLab a dedicated outbound system: separate sending domains and warmed mailboxes, a target list of companies actively hiring for the sales roles ScoutLab fills, and a candidate-forward email sequence that led with a specific, pre-vetted candidate rather than a description of the agency. Every reply was qualified and handed to ScoutLab's team as a live conversation with a hiring manager, not a name on a list.
In the first three weeks the campaign produced 15 qualified leads. Three of those became closed deals, and each of those deals produced a placement. ScoutLab had signed a three-month pilot; on the strength of the first month, the President said on camera that he expected to keep the engagement running for the following year and beyond.
Key Insight: For a staffing firm, a lead is only worth what it converts into. Three placements from 15 leads in three weeks is a 20% lead-to-placement rate in the first month of a cold channel. That happened because the emails led with a candidate the hiring manager wanted to meet, not with a pitch for the agency. The client's job was to close; ours was to put the right conversation in front of them.
